Job Description

Brown Bag Films is currently looking for our next Studio Administrator with an immediate start!

About the role:

The successful candidate will provide active support for the day-to-day running of the studio’s administration, facilities, and support services. We are looking for a confident professional who is a clear and concise communicator and has strong interpersonal skills.

Skills & Requirements

Responsibilities will include

  • Supporting all departments with the meeting room arrangements/ set up with the (external) clients
  • Coordinating (ordering) and monitoring stationery and catering supplies, booking taxis, flights, and accommodation as required
  • 1st point of contact to cleaning contractors, arranging/coordinating catering for the studio
  • Conducting COVID Inductions and supporting home workers with the delivery of equipment, WFH package delivery administration
  • Covering Regular Reception, including Client/visitors, taxis, post, couriers, and travel
  • Aiding (manually) all internal employee moves and supporting new starters (access & entrance badges, photos)
  • Generating Purchase orders and running supplier maintenance contracts for coffee machines & photocopiers and shredding services
  • Running daily/weekly Air-Con, fire systems, and Safety checks. Facility maintenance tasks reporting and administration
  • Extra Reception COVID tasks as required (Legal document control etc.)
  • Seating Chart and Desk Booking system administration and Work Station Assessment as required 

Knowledge, skills and experience

  • Good understanding of Microsoft Office applications
  • Experienced in database work and maintaining tracking documents
  • Customer service and strong administration skills
  • Previous office & reception assistant experience is an advantage
  • Working knowledge of Microsoft Office and practical use of Photoshop and Acrobat

All applicants must be eligible to work in Ireland and currently based in Ireland!

During COVID-19 restrictions, the successful candidate will first start remotely and then will require being in the Dublin studio on a full-time basis when restrictions are removed.
